How to Import User Data and Manage Budget Renewals

When it's time to update user data or renew budgets, importing a single file makes it easy. This guide will walk you through the process.

Step 1: Once you've logged in to your Go1 account, click on your initials or profile photo in the top right corner. Then, look for a tab called "Administer" and click on it.

Step 2: Select the Users option

Step 3: In the Users tab, click over the Import button to open the Import user window.

Step 4: Click the Download Sample option to view the information required to upload the CSV file.

Step 5: Open the downloaded file and fill out the required columns:

  • Email

    • The contact email is the email linked to the user’s account in the Group.

  • Given Name

    • The given name, or first name, is the user's personal name.

  • Family Name

    • The family name is also known as the last name or surname of the user.

  • Status

    • The status reflects the current activity or availability of the user’s account. Common statuses include "Active" and "Inactive." This helps the system and other users determine whether the account is in use or deactivated.

  • Roles

    • Portal roles define a user’s permissions and access levels within the system. Examples include "Administrator," "Learner," "Manager," and "Content Administrator. " Each role allows different levels of access to content, features, or administrative functions within the portal. Remember that if you assign more than one role, you must use the '|' symbol to separate each one.

  • Managers

    • This displays the direct supervisor or manager assigned to each user.

  • Groups

    • The Group is a unique identification number assigned to each group within the portal. Users can belong to one or more groups, and each group will have its own group identification number. Remember that if you assign more than one group, you need to use the '|' symbol to separate each one.

  • Budget

    • This column needs to be added to the file (if not present). The budget refers to the financial allocation or limits set for a specific user or team. The system can track this to monitor spending limits or available funds for assigned tasks or projects.

Before importing, ensure your file is properly formatted with no missing values and correctly labeled columns.

Step 6: Once your file is ready, you can drag and drop the file or select the prepared file from your computer.

Step 7: Import the Data

Once the file has been uploaded, select the Import button to complete the process.

Wait for Confirmation: The system will process the file, and you will receive a confirmation email from the portal.

Step 8: Review and Confirm

After importing the file, double-check the following:

  • All users have been imported successfully.

  • If applicable, budget assignments have been updated with the correct renewed values.
