Assign content

Step-by-step guide to assigning learning to learners or groups with due dates, recurring schedules

Create assignments to deliver required or recommended learning to specific people or groups in your organization.

Who can create assignments

You can assign up to 50 pieces of content and select any number of learners in a single assignment. If you need to assign content to people you don't manage, you'll need Content Admin or Administrator permissions.

Assign content

1. Choose the content you want to assign

Search for the content you need to assign. You can assign a single course or item, or select up to 50 at once.

2. Select Assign

The Assign button appears in Search, and on the content detail page.

3. Select your recipients

Choose who should receive this assignment:

  • Learners tab: Search by name or email address, or use filters to find specific people. Select individuals by checking the box next to their name.

  • Groups tab: Search for and select one or more groups.

You can switch between tabs to add both individuals and groups to the same assignment.

4. Select Next

5. Name your assignment

The assignment name defaults to the content title. You can edit this to something more meaningful for your organization—for example, "Q1 Compliance Refresher" instead of the course title.

6. Choose your assignment type

Select the type that matches your learning timeline:

  • Fixed due date
    Everyone completes the learning by the same specific date. Set your due date in the date picker.

  • Rolling due date
    Everyone gets the same amount of time from when they receive the assignment. Enter the number of days, weeks, or months learners have to complete the learning.
    When you assign to a group with rolling due dates, new group members automatically receive the assignment with their own completion timeframe.

  • No due date
    Learners complete the learning at their own pace.

7. Choose when to assign

Assign immediately: Learners receive the assignment as soon as you create it.

Schedule: Choose a future date to deliver the assignment. This works well when you're planning ahead for quarterly learning programs.

8. Optional: Set the assignment to repeat

If you selected fixed due date or rolling due date, you can make the assignment repeat automatically:

  1. Select Repeat

  2. Choose your interval: Annually, every 6 months, every 3 months (quarterly), monthly or set a custom schedule

Each recurrence creates a separate assignment instance. This works well for compliance refresher training or regular skill development.

9. Click Create assignment

You'll see a confirmation message and can view the assignment created on the Assignments page here.

Tips

Naming assignments: Use names that clearly communicate the purpose or timeframe. "New Manager Onboarding - Week 1" is clearer than repeating the course title.

Scheduling in advance: You can create all your quarterly assignments at once by scheduling different start dates. Each assignment remains in your Scheduled tab until its assign date, and learners don't receive notifications until the assignment date.

Group assignments with rolling due dates: When new members join the group, they automatically receive any active rolling due date or self-paced assignments. Fixed due date assignments don't apply to people who join after the assignment is created.

What happens next

For learners:

  • They receive an email notification that learning has been assigned

  • The assignment appears in their Learning page

  • If the assignment has a due date, they can see when it's due and receive reminders as the date approaches.

For you:

  • The assignment appears on your Assignments page

  • You can track completion progress by learner and by content in Reports

  • If you set up recurrence, future instances appear in the Scheduled tab
