Before you begin
Your access depends on your role:
Role | What you can do |
Portal admin | Manage attendees and mark attendance across the portal. |
Course assessor | Manage attendees and mark attendance for all event sessions within that course. |
Event session assessor | Manage attendees and mark attendance for the specific event session. |
Manager | Add, move, or remove your direct reports from event sessions. Note: the Manager role alone does not allow attendance marking, you have to be an assessor to mark attendance. |
If you are a manager and also an admin or eligible assessor, your broader admin or assessor permissions apply.
Note: Assessors that do not have an administrator role also need view access to the relevant course to manage event attendance. Adding someone as an assessor doesn’t automatically give them access - make sure they’re also added in the course Access modal. For event session assessors, this means access to the parent course.
Open an event session
Open My learning.
Select Manage events.
Find the event session. Use filters such as course title, event title, location, address, date range, course tags, or assessors to find the session.
Hover over the row and click on the Manage button to open the session attendee page.
Note: You can also open a session from the To assess list once the session has started and attendance marking is required.
Add attendees
You can add attendees before or after a session starts.
Find the session in the Manage events list.
Select Add attendees in the top right corner.
Search for and select the learners you want to enrol in the session.
Review the selected learners. The list will show whether the learner has already enrolled in another session belonging to the same event.
Select Save attendees.
If learners are booked into another session of the same event, review the confirmation and select Change session and save.
Note: Managers can search for and add only their direct reports in event sessions. Administrators and assessors can search and add any learner to the event session.
New attendees have a pending attendance status. If the session has already started, an admin or eligible assessor can mark their attendance.
Tip: Admins and assessors can override the registration cutoff window and add learners after the registration cutoff, but the session’s capacity limit still applies.
Move learners to another session
Learners can only register for one event session for each event.
Find the learner's current event session in the Manage events list.
Hover over the row and click on Manage to open the event session attendees page.
Hover over the learner you want to move to a different session and click on Change session.
Review the list of other available sessions within the same event and click on Change session.
Click on Confirm change.
Tip: Admins and assessors can move learners to a different session, even when learner session switching is disabled or the registration cutoff has passed.
A event session assessor can move a learner to another session of the same event without being an assessor for the destination session.
Note: Moving a learner whose attendance has already been marked creates a new session enrolment with pending attendance. Their previous attendance outcome does not carry over.
Remove attendees
Find the event session in the Manage events list.
Hover over the row and click on Manage to open the event session attendees page.
Find the attendee or attendees you want to remove and click on the Delete icon.
Click on Remove learner in the confirmation modal.
Removing an attendee removes their session booking. If their attendance has already been marked, the associated enrolment is archived.
Note: Managers can remove only their direct reports.
Mark attendance
Attendance marking becomes available once the session’s start time has passed. You do not need to wait until the session ends.
Open the event session in the To assess list or Manage events list.
Select the Pending tab.
Find the attendee.
Choose Attended or Didn’t attend.
Review and confirm the outcome if prompted.
The attendee moves to the corresponding Attended or Didn't attend tab.
To mark several attendees at once:
Select the checkboxes beside the attendees.
Select Mark as attended or Mark as didn't attend from the bulk actions in the table header.
Understand attendance outcomes
Attendance status | Event enrolment outcome |
Attended | Completed and passed |
Didn’t attend | Completed and failed |
Pending, or Attending before the session starts | In progress |
Correct event attendance
Find the event session in the Manage events list.
Find the learner in the Attended or Didn’t attend tabs.
Hover over the row and click Attended or Didn't attend to update their attendance.
The learner’s event enrolment will be updated to match the new outcome.
Export the attendee list
Portal admins and assessors can export session attendees.
Open the session.
Click on the Export CSV button in the top right corner to export all attendees. To export a subset of attendees, select the learners in the list and click on the Export selected button in the table.
The file will start downloading in your browser.
The export includes learner names, email addresses, event title, location, session start and end time, duration, and attendance statuses.
Frequently Asked Questions
Why can’t I mark attendance?
The session may not have started, or you may not have attendance-marking permission. Manager access alone does not allow you to mark attendance - you have to be an assessor too.
Why can’t I see every attendee?
Managers see only their direct reports unless they also have admin or eligible assessor access.
Why can’t I open a session?
Ask a portal admin to check your access to the course and your assessor permissions.
