Create and edit event sessions

Create events, configure sessions, and manage learner booking settings.

Create events in a course for instructor-led learning, such as workshops, onboarding sessions, or online training. Configure session details, locations, capacity, assessors, and learner booking rules in Go1 Learn.

Before you begin

  • You'll need Admin permissions to create events in Go1 Learn.

  • Events are created inside the course editor in Go1 Learn.

  • Learners must book one session for each Event in the course. If learners should attend only one session, create one Event with multiple session options.

  • Attendance marking and attendance reporting use a separate workflow.


Create and edit events

Create an Event in a course

  1. Open the course in the course editor.

  2. Find the module where you want to add the event.

  3. Select Add item, then select Event.

  4. Enter an Event title. The event is created when a title has been added.

  5. Add a description to help learners understand what the event is for.

  6. Select Add session to create the first session.

Note: The Add session and event settings are unavailable until the event has a title.


Add or edit event sessions

Add an event session

  1. From the event editor, select + Add session.

  2. Enter the start and end date and time.

  3. Confirm the Time zone. New sessions use your portal's time zone by default.

  4. Review the calculated Duration. You can replace it with the actual learning duration when the session includes breaks or runs across multiple days - for example, if the session runs from 9am-5pm with a 1hr lunch break, you can update the duration from 8 hours to 7 hours

  5. Select an event location - you can select from a saved location that you've previously created, or add a new location.

  6. Optionally add:

    • Session URL (e.g. meeting link, or map link)

    • Session details (e.g. details relevant to the event session)

    • Session capacity limit (e.g. the maximum number of learners that can attend. Leave this field empty if there's no limit)

    • Session assessors (e.g. the users that can mark attendance after the event occurs)

  7. Save the session.

  8. The event session should appear in the event session list.

Note: You can create or edit a session with a date in the past. Go1 Learn shows a warning before saving, and past sessions are not available for learners to book.

Tip: Select the ellipsis menu to quickly duplicate a session and its details in an event.

Add or edit an event location

Reuse an existing event location

Saved locations can be reused across event sessions.

  1. In the session editor, open the location section.

  2. To use an existing location, select the option to Select from saved locations and choose a location in the dropdown list.

Create a new event location

  1. In the session editor, open the location section.

  2. Select Add new, and add a location name. The location name should be a recognisable name, such as “Australia Office - Harbour Meeting Room".

  3. Choose whether the location is online or in person.

  4. If the location is in person, select the Country and fill out the required location details. The location fields changes by country, such as State, County, or Prefecture, and may not appear where it is not needed.

  5. The new location will be saved when the event session is saved.

Editing an existing event location

Editing a saved location updates it everywhere that location is used, including existing sessions.

  1. In the session editor, open the location section.

  2. Select the option to Select from saved locations and choose a location you wish to edit in the dropdown list.

  3. Click on the Edit icon in the location tile

  4. Update the event location fields as required, and click Save location once you're done.

  5. This will update the event location for every session that uses the same location.

Set session capacity

Capacity is optional. Leave it blank if there is no limit. When a session reaches capacity, learners can still see it on the booking page, but they cannot select it. The session displays Capacity full.

Set session assessors

Event session assessors are responsible for marking learner attendance for a specific session. Adding someone as an assessor for one session does not make them an assessor for other sessions in the event. To add a session assessor:

  1. Open the event editor and select the session you want to edit.

  2. Search for and add one or more users as session assessors.

  3. Choose the primary assessor where more than one assessor is assigned.

  4. Save the session

Note: You can add multiple assessors to a session, but one must always be the primary assessor. The primary assessor receives email notifications related to the session and is assigned the responsibility of marking attendance by default.

Other assessors can also access the session and mark attendance when needed. To change the primary assessor, select another assessor as primary before saving your changes.

Important: If the same person needs to mark attendance for multiple sessions, add them as an assessor to each session.

Manage existing sessions

The session list shows All sessions by default. Use Upcoming and Past to filter the list. From the session list, you can:

  • Select a session to edit its details.

  • Duplicate a session to reuse its dates, location, capacity, URL, and details.

  • Delete a session. The session is removed from learner booking and its related enrollments are archived.

Past sessions remain available to edit and are labelled Past session.

Note: Deleting an entire event from the course also deletes its sessions.


Event settings

Set a registration cutoff

Use a registration cutoff to stop learners from booking or changing sessions shortly before a session starts.

  1. In the event editor, enable Registration cutoff.

  2. Enter a whole number.

  3. Choose Minutes, Hours, or Days.

The cutoff applies to every session within the event.

For a new booking, Go1 Learn checks the cutoff for the session the learner wants to join. When switching to different sessions, the learner must still be outside the cutoff for their current session, and the new session must remain open and available.

After the cutoff passes, the session stays visible but displays: Registration closed, contact your admin if you want to register.

Note: Assessors can override the registration cut-off window by going to the manage attendance page for that session and adding the learner as an attendee.

Allow learners to change sessions

When an event has at least two sessions, you can control whether learners can change their booking.

  1. Add at least two sessions to the event.

  2. Turn Allow learners to switch sessions on or off.

This setting is on by default for new events created in Go1 Learn. It is off by default for existing events created in MyGo1.

Learners can change sessions only when:

  • The setting is on.

  • They are outside the registration cutoff for their current session.

  • The new session is upcoming, has capacity, and is still open for registration.

Note: Learners cannot withdraw from an event session in Go1 Learn. If no alternative sessions are unavailable, they need to contact the administrator and leave the course.


Course assessors

In addition to adding session assessors, you can assign assessors through the course access settings. The main difference is that Course assessors can mark attendance for every event session within the course, not just the specific session.

Assign assessors through course access

  1. Navigate back to the course editor

  2. Open the Access modal, then select the Assessor tab.

  3. Add one or more individual portal users as course assessors or session assessors.

  4. Choose the primary assessor where more than one assessor is assigned.

The first assessor added is selected as primary. If the primary session assessor is removed, the next assessor becomes primary. Session assessors can differ between sessions, and assigning a session assessor does not change the course-level assessors.

The primary session assessor is listed as the contact person when learners book a session session. Assessors mark attendance through the separate attendance management workflow.


Understand the learner booking experience

Learners need to select Book now from the course overview to open the booking page. They must book one session for each event in the course.

Upcoming sessions are listed in start-time order. Learners can filter them by location or time zone. Full sessions and sessions with closed registration remain visible but cannot be selected.

If session changes are enabled, learners can replace their booking with another upcoming session that has capacity and remains open for registration. Learners cannot withdraw from an event session in Go1 Learn.

When a learner books or changes a session, their manager receives an email if a manager relationship is set up. Booking and changing sessions still work when the learner does not have a manager.

FAQs

How should I structure events and sessions?

Think of an Event as something a learner must attend, and its sessions as the different date, time, or location options available for that event.

  • If each learner needs to attend only once, create one Event with multiple sessions. The learner selects one session.

  • If each learner needs to attend multiple times or complete multiple event activities, create multiple Events. The learner must select one session for each Event.

For example:

  • For one onboarding workshop offered in Sydney, Paris, or hosted online, create one Event with three sessions.

  • For an onboarding workshop followed by a separate final presentation, create two Events. Add the relevant session options to each Event.

How many sessions does a learner need to book?

A learner must book one session for every Event in the course. If a course contains two Events, the learner must book two sessions in total: one for each Event.
