Content export and learning experience

Understand how to find, identify, and export Learning Items from the Go1 Content Hub to your SuccessFactors instance.

Updated over a week ago

Overview

Go1 customers usually perform some level of curation to identify courses they want to provide to learners. With the SuccessFactors integration, customers can use Go1’s Content Hub to curate resources they would like to make available in SuccessFactors. The Content Hub allows Admins to preview courses they might like, and filter by Provider or Topic.

Once Go1 items are exported to SuccessFactors there is no preview functionality or filters available for Admins to select which items should be made available for learners as Learning Items. OCN listings cannot be deleted once they are exported - they can only be hidden from Learners by removing them as Learning Items. Therefore we recommend that curation is done on the Go1 platform first.

We also recommend that you always keep your Library in Go1 in sync with the resources you have exported to SuccessFactors. In general this is a good practice because it helps admins keep track of what content they have added to SuccessFactors.

Step 1

Adding Go1 content to SuccessFactors

1.1 Select content
Following these steps, the Go1 Platform Administrator doesn't have to wait for the integration to be configured before curating learning from within the Go1 Platform; you can watch and identify appropriate Learning Items to curate at any time.

  • Navigate to your avatar in the top right-hand corner of your Go1 Platform and select ‘Content’ from the side panel.

  • Use the Content Selection tools in the Content Dashbaord, identify which learning content you wish to bring across to SuccessFactors.

  • To preview any of the items before selecting them, the Admin can click on the three dots to the right-hand side. The GO1 CSM may also provide recommendations:

2.2 Export content metadata to the SuccessFactors Open Content Network

Once the integration has been configured, a content export can be triggered from the Integrations screen in GO1.

This will send the required metadata and create a listing (reference) in the SuccessFactors Open Content Network.

2.2.1 As an Admin User, login to GO1 and go to Integrations > SuccessFactors > Export

2.2.2 Click Export. Content exports at a rate of 1000 items every 5 minutes. Depending on the amount of content, this process can take a while. You can click Refresh to see updates.

2.2.3 If any courses are not able to be exported successfully an error message will display on the screen. Contact GO1 Support to resolve errors by emailing [email protected]

2.3 Import OCN listings to create a Learning Item

From the SuccessFactors Open Content Network screen, a SuccessFactors Admin can import any OCN listing and create a Learning Item in SuccessFactors.

2.3.1 Go to SAP SuccessFactors Learning Administration > Content > Open Content Network

2.3.2 Use the available filters to search course topics from GO1 or find a particular course that was exported

2.3.3 Make your selection(s) and click Import

2.3.4 Learning Items will now be created and searchable within Learning Administration > Learning Activities > Items

Note: A possible cause if you have imported learning and it is not showing in the SF instance is that external learning is not set to be viewable in the content library. To check this go to System Administration > Configuration > System Configuration. Make sure the ‘catalogSearchCategories[External]=’ is set to ‘true’.

2.4 Determine the content visible to users in Go1

When a user finishes a course in SuccessFactors, they can optionally be redirected to GO1 where they can take any additional courses they might like. However, this is not the recommended setting because it does mean that users can see EVERYTHING that was exported to SuccessFactors, (Go1 content will not respect SuccessFactors catalogue rules).

To allow learners to complete additional courses in Go1, check this box PRIOR to exporting content:

Completion data will be reflected in the user’s Learning History in SuccessFactors for any content that was sent to SuccessFactors and imported as a Learning Item. The is another reason that we suggest the Library is always kept in sync with content exported to SuccessFactors.

Step 2

2.1 Assigning Go1 content

Any Learning Items created can be assigned to users or used elsewhere by clicking on the Learning Item in the Items menu.

Alternatively, they can be used via any of the other menu options under Learning (Catalogs, Programs etc), depending on what the Admin is trying to do.

2.2 Learner Experience

Just like any other Learning Item in SuccessFactors, Learning Items from GO1:

  • Can be assigned as required training on a user's learning plan

  • Can be used in Programs

  • Can be self-assigned by the user

  • Can be added to learning catalogs and are indexed by the SuccessFactors catalog search

  • Can be used in Recommendations

  • Can be added to Collections

When a user clicks on “Start Course” the course will open in a popup window. Once the learner has completed the course, they can close the popup window and return to SuccessFactors. This is the recommended configuration:

If the customer wants to allow learners to browse additional content in Go1, they can allow users to close the content with the X icon:

Then the learner will be redirected to the home page in Go1:

Any changes that are made to this setting, or any other attribute of the content, after the Learning Item has been imported, won’t be reflected in SuccessFactors. This will need to be edited directly in Learning Items or Content in SuccessFactors by the SuccessFactors Learning Admin, or the customer can export the content from Go1 again, and re-import the learning item.
