Assigning a Manager via CSV : New UMP

This article provides step-by-step guidance on how to assign managers to both new and existing users in the New User Management Page (UMP)

Assigning managers to users is essential for tracking user progress, managing team structures, and enabling manager-level reporting. This guide covers two common scenarios:

  • Assigning a manager to a user for the first time

  • Updating or adding an additional manager to users who already have one

Assigning a Manager to Users via CSV

  1. Prepare the CSV File
    Download the user import template from the New UMP (Users Management Page).

  2. Input all the mandatory fields: Email Address, Given Name, and Family Name, Status and Roles.

  3. Locate the "Managers" Column
    In the CSV, find the column labeled “Managers”.

  4. Enter the Manager's Email Address
    In the “Managers” column for each relevant user, input the email address of the manager you want to assign. Make sure the person you're assigning as a manager has the Manager role assigned to prevent import errors.
    Note: If the user has an existing manager, and you wish to add more, all the existing assigned managers and the new manager’s email should be added to the ‘Managers’ column; adding just one will alter the existing record

  5. Upload the CSV to the New UMP
    Go to the User Import section in the New UMP, upload the updated CSV, and submit the import. You will receive a message that your import is now scheduled to be processed.

  6. Check the Import Summary
    You’ll receive an email once the import is complete. The email will include the number of successful updates and any errors.

  7. To view detailed results, click “Download Import Summary.”

Understanding Import Summary

Your import summary will include the following information:

Import Status:

  • Success: The import was successful.

  • Error: The import was not successful.

Import Operation:

  • Create: A new user was created.

  • Update: An existing user was updated.

Import Message:

  • This appears when the system detects an error.

  • Examples:

    • No field data passed - indicating there are unnecessary columns that don’t have any data.

    • FirstName or LastName cannot be empty - Given Name and Family Name are required fields. Leaving them blank will result in an import error.

    • Status: invalid status - if the status field is empty, the CSV will still import successfully, but the user will be automatically set as Inactive.
