You can stop an assignment, remove a learning requirement, and control what appears in your reports. You can do all of this yourself.
What you cannot do is permanently delete a learning record. Go1 Learn archives records instead of deleting them, because Go1 is your system of record for compliance.
Use this guide to find the action that matches what you want to happen.
Will the learning disappear from the learner's profile?
This is the most common question, and the answer depends on whether the learner has started.
When you remove a learning requirement, and no other assignment still requires that learning:
Learner's progress | What happens |
Not started | The enrolment is archived. It disappears from the learner's active learning. |
In progress | Progress is kept. The due date and the requirement are removed, and the learning becomes optional. The learner can finish it or leave it. |
Completed | The completion record is kept in learning history. Nothing changes for the learner. |
Learning that is no longer required can still appear in a learner's profile. This is expected for anything they have started or completed. Removing the requirement does not erase their progress.
Archived records are not deleted. You can still see them as an administrator by adjusting your report filters.
What is the difference between archiving and deleting?
Archiving removes a record from active learning while keeping it in your compliance history. This is what happens automatically when you remove a learning requirement from someone who has not started. You can still report on archived records.
Deleting would erase the record permanently, so there is no evidence the learning was ever assigned or completed. Go1 Learn does not offer this, and neither does Go1 Support directly.
Which action do you need?
What you want to happen | What to do |
Stop an assignment from repeating for everyone
Stop new group members from receiving an assignment
Stop requiring a particular learner or group to complete the learning | Edit the assignment's recipients. |
Remove one content item from an assignment | Edit the assignment's content. |
Delete an assignment that created no enrolments | Delete the assignment. This option only appears when the assignment is empty. |
Hide archived enrolments from a report | Adjust your report filters. This changes the view, not the record. |
Two terms help here. An assignment sets out what learning is required, who should complete it and by when. An enrolment is a learner's individual record for one content item, including their progress and completion. Changing an assignment does not always remove the enrolment.
Stop an assignment from repeating
Close an assignment when you want to stop it repeating, or stop it being sent to new group members.
Select Assignments from the left menu.
Select the assignment from In progress or Scheduled.
Select Close assignment at the bottom of the detail panel.
Confirm the action.
Closing an assignment does not change anything for learners who already have it. They keep their current learning, their progress, and their requirement to complete it.
To remove the requirement for someone who already has it, edit the assignment's recipients instead.
For more detail, see Close an assignment.
Delete an assignment
You will only see a delete option on an assignment that is genuinely empty, meaning it created no enrolments. This usually happens when you chose Skip if already enrolled and everyone in the audience had already been enrolled, so no new enrolments were created.
If the assignment created even one enrolment, you cannot delete it. Close it instead.
Deleting an empty assignment removes the assignment record only. Because the assignment never created any enrolments, no learner records are affected.
Stop requiring learning for selected people
Use this when someone changes roles or no longer needs the training, while everyone else continues.
You need Manager, Content Admin or Administrator permissions to edit an assignment. Managers can only edit assignments they created.
Select Assignments from the left menu.
Select the relevant assignment.
Select the pencil icon next to the learner count.
Remove the individual learners or groups that no longer need the learning.
Select Update.
Note: Removing a group changes the assignment for everyone in that group. If only one person no longer needs the learning, review their group membership instead. See Add or remove group members.
Check whether the learner also receives the learning through another group or another assignment. Removing one requirement can leave another in place.
You cannot remove the final learner or group from an assignment, if needed - contact Go1 Support.
Remove content from an assignment
Use this when a content item is no longer required for the people covered by the assignment.
Select Assignments from the left menu.
Select the relevant assignment.
Select the pencil icon next to the item count.
Select the content item you want to remove.
Select Update.
This changes the learning requirement for everyone covered by that assignment. If you cannot remove the final content item, contact Go1 Support.
See Edit an assignment for the other changes you can make.
Control which records appear in your reports
Archived enrolments are historical records. They stay available to administrators even after they disappear from active learning.
Use your report filters to show or hide archived enrolments, depending on what you need to review. See Create and manage reports.
Filtering a record out of a report does not delete it and does not change the learner's assignment.
Pro tip: Because archived records stay visible to you, you can see every time a learner has completed recurring training, not just the most recent completion.
If you need a record permanently removed
Go1 Learn does not provide a way to permanently delete an enrolment or erase a learning record, and Go1 Support cannot do this either.
Permanent deletion is an exceptional engineering request. It is reserved for cases such as content assigned to a large number of people by mistake, where nobody has started the learning. It is not a standard way to tidy up records, and it cannot be guaranteed.
If the actions in this guide do not achieve what you need, contact Go1 Support and include:
The assignment name and the content involved.
The learners affected.
Whether anyone has started or completed the learning.
What you need to happen: stop future repeats, remove the current requirement, hide an item from a learner's view, or correct a record.
Support will help you find the right action for your situation.
