Group Managers can support users in specific static or dynamic groups without receiving full Administrator access. They can manage permitted user details, learning assignments, and reporting for users within their scope.
Before you begin
You need Administrator permissions to assign or remove a Group Manager.
The person you assign must be an active user in your Go1 portal.
The group must be active.
Group Manager access is assigned through a group, not through the user’s Roles field.
Understand Group Manager access
Group Manager access covers only active users in the groups a person is explicitly assigned to manage. If they manage several groups, members of those groups appear once on the People page, even when a user belongs to more than one group.
Group access does not follow the Managed by reporting line. A group member’s direct reports, other reporting levels, and any groups that member manages are not included unless those people also belong to a group assigned to the same Group Manager. A group can have several Group Managers.
If someone also has Manager access through their own reporting line, that access is separate from their Group Manager assignment.
What Group Managers can do
For users in their scope, Group Managers can:
View and search for users on the People page.
View individual user profiles.
Edit user details allowed by your portal’s Field settings.
Assign or recommend learning.
View learning progress and reports.
Send welcome emails and password-reset emails.
Update a learner’s Managed by field.
Updating Managed by gives the selected person Manager access through that reporting relationship.
What Group Managers cannot do
Group Managers cannot:
Create or import users.
Deactivate, reactivate, or delete users.
Access the Groups tab.
View or edit group details, group IDs, dynamic rules, or membership.
Create groups.
Add users to groups or remove them from groups.
Manage static or dynamic group membership.
Directly grant user roles.
Assign another Group Manager.
Access Global Settings, billing, SSO, or SCIM settings.
View or manage users outside their scope.
Assign a Group Manager
From the side menu, select People.
Open the Groups tab.
Select the group you want the person to manage.
Select Edit group.
Find the Group Managers section.
Select Add Group Manager.
Search for the active user you want to assign.
Select the user, then save your changes.
The new Group Manager can now access the group’s active members from their People page. They do not receive access to the Groups tab.
Use Group Manager access
After being assigned as a Group Manager:
Select People from the side menu.
Use search and filters to find users within your scope.
Select a user to view or edit their permitted details.
Use Assignments to assign or recommend learning.
Use Reports to review learning activity and progress.
Your Group Manager access on the People page covers active users in your assigned groups. Any separate Manager access follows your own reporting line.
Remove a Group Manager
From the side menu, select People.
Open the Groups tab.
Select the relevant group.
Select Edit group.
Find the person in the Group Managers section.
Select Remove, then confirm the change.
Removing someone as a Group Manager ends the access granted by that group. They may still see a learner through another group they manage or through separate Manager access. Only an Administrator can remove a Group Manager.
Understand when access changes
Group Manager access to a learner ends when the learner is no longer in any active group assigned to that Group Manager. This can happen when:
An Administrator removes the Group Manager from the group.
The learner leaves the last group assigned to that Group Manager.
The group is disabled or deleted.
Access through a separate Manager role follows the person’s own reporting line and is unaffected by these group changes.
Frequently asked questions
When should I assign a Group Manager?
Assign a Group Manager when someone needs to support learning for a defined group of people without becoming an Administrator or being made their line manager. For example, a regional training lead could assign learning and review progress for people across several teams. Group Manager access covers only active members of the groups you assign to that person; it does not extend to a member’s direct reports or to other groups that member manages.
Does Group Manager access include reporting lines?
No. It covers only active users in assigned groups. If the same person also has Manager access, that separate access follows their own Managed by reporting line.
Can a group have several Group Managers?
Yes. You can assign several Group Managers to the same group.
Can a Group Manager manage several groups?
Yes. Users from all their assigned groups appear as one combined population on the People page.
Can a Group Manager access the Groups tab?
No. Group Managers cannot access the Groups tab or view group details. They can access the active users from their assigned groups through the People page.
Can a Group Manager change group membership?
No. Only Administrators can add or remove group members and create new groups.
Can a Group Manager appoint another Manager?
They cannot directly grant roles. However, they can update the Managed by field for a learner in their scope. This gives the selected person Manager access through that reporting relationship.
What happens when a dynamic group changes?
Group Manager access follows the group’s current membership. If a learner no longer matches the group’s rules, access through that group ends. The learner remains in group scope only if they belong to another assigned group.
